Board Meeting Minutes
Topics included landscaping bids, dogs in the neighborhood, the website, insurance, and fixing the dock at the lake.

The meeting was called to order at 6:00 p.m. The minutes from the December 3 meeting were approved.
The first order of business was a report by the Landscape Committee. Ray was able to fix the lighting at the main entrance. Gardenscapes has begun the rockwork on a couple of the beds. It was suggested for the committee to have Gardenscapes check the sprinklers at the main entrance. The board also decided to obtain a bid on putting 2 more beds at the entrance of the park. One bid has been received for making a sign for the Apache Pass entrance. The board is waiting on additional bids to come in.
Cliff reported on the activity of the Architectural Control Committee. They have approved four new sets of plans. A plan to construct a Morgan Stanley building was discussed. It was decided that this violates the deed restrictions, and the plans will be rejected.
The next item of discussion concerned the dogs that have been roaming freely in the subdivision. This is a clear violation of the deed restrictions. Letters are to be sent to the owners of the dogs, and a postcard will be mailed to all property owners reminding them that their dogs must be on leashed if they are not in a fenced yard.
Several changes to the Lookout website (www.thelookout.org) have been made. A plot layout of the subdivison and a map have been added. A calendar has also been added. It was suggested that the forms for site improvements also be added to the website.
There were a couple of new violations. Trash and debris were the main cause for concern. Construction workers driving on lots adjacent to their worksite was also a problem.
Philadelphia backed out of the insurance proposal approved at the last board meeting because of the liability of the lake. We have received another quote from the Hartford Group that was actually cheaper than Philadelphia with equal benefits. The board unanimously approved canceling our current insurance with Bluebonnet and switching to the Hartford Group.
In new business, bids have been requested to fix the dock at the park. A suggestion was made to use DNS, general contractor that Alliance Association Management uses regularly. There was no luck getting bids from actual dock companies because the job is too small for them to worry with. DNS is working on a bid. The need for signs at the park was also discussed.
The next meeting will take place on February 4, 2003.
